BandRoom Terms of Use
Version 1.0 of 13.10.2026
1. General Provisions
These Terms of Use (the Terms) govern the relationship between the BandRoom service administration (the Administration) and the user regarding the use of the BandRoom service: the website bandroom.rs, the app that can be installed on a phone's home screen, the Telegram bot @bandroom_bot and the Telegram mini app (the Service). By registering, sending a booking request or connecting a venue, you confirm that you have read, understood and accepted these Terms and the BandRoom Privacy Policy. If you do not agree, please do not use the Service.
2. What BandRoom Is
BandRoom is an online booking service for rehearsal rooms and recording studios in Serbia.
- Musicians search for venues in the catalog, see free time slots, prices and equipment, send requests for one-off and recurring sessions, cancel and reschedule bookings, join the waitlist, receive confirmations and reminders, and leave reviews.
- Venue owners and their assistants work in the owner dashboard: requests and schedule, rooms, prices, packages and last-minute discounts, equipment, cancellation rules, the team and assistant permissions, calendar connection, promotional messages to clients, and a poster with a QR code for visitors of the venue.
3. Role of the Administration
- The Administration provides an information platform for booking. The contract for room rental, recording or any other service is concluded between the musician and the venue. The Administration is not a party to it, does not provide these services and is not responsible for their quality, the condition of rooms and equipment, or the venue's compliance with its schedule and its own rules.
- Prices, opening hours, cancellation rules and the description of a venue are set and maintained by its owner. Some venue cards were collected from public sources before the owner connected; the Administration does not guarantee the completeness, timeliness or accuracy of such information.
- Venue card texts are translated into the Service's languages automatically. If translations differ, the text in the language in which the owner published it prevails.
4. Registration and Account
Registration is available to persons aged 15 and over; users under 18 may face restrictions on certain features, for example connecting a venue. You can sign in with Google, Yandex ID, Telegram, or with an email address confirmed by a code.
You undertake to provide accurate data and keep it up to date. You are responsible for keeping your password and access to your email and Telegram secure, and for all actions performed under your account. Do not share sign-in links and codes, invitation links or links for deciding on requests with other people: they give access to your account or your venue. Using one account by several persons or transferring an account to third parties is prohibited. The Administration may block or delete an account if these Terms, applicable law or third-party rights are violated.
5. Requests and Booking
- A request becomes a booking only after the venue confirms it. Until then the time is not reserved for you: the venue may reject the request, and a request left unanswered in time expires. You will be notified of the outcome.
- To book, you need at least one notification channel: Telegram (the @bandroom_bot bot), browser push notifications or a confirmed email address. If Telegram is not linked, you must enter a phone number in the request so that the venue can contact you.
- The amount shown in a request is calculated from the venue's price list at the time of the request and is for information only; the final price is determined by the venue.
- The Service may limit the number of simultaneously pending requests, the length of a series and how far ahead you can book, to protect venues' schedules from abuse.
- Book only the time you intend to use. If your plans change, cancel the booking as early as possible.
6. Cancellation, Rescheduling, No-Shows and the Waitlist
- A musician can cancel a booking in "My bookings" or in the bot. The free cancellation period and cancellation rules are set by the venue and shown on its page. A cancellation after this period is marked as late. The consequences of a late cancellation (for example, a payment) are determined by the venue's rules and settled directly between the musician and the venue.
- A confirmed booking is rescheduled by a request within the same venue; the venue may accept or decline it. If rescheduling is declined and the original time is no longer available, the booking is cancelled. When less than the free cancellation period remains before the start, rescheduling is not possible; only cancellation under the venue's rules is.
- A venue may cancel or reschedule a booking, close time slots for booking, mark a no-show and close booking at its venue for a specific user; in the latter case that user's future bookings at the venue are cancelled. You will be notified of changes to your bookings.
- Late cancellations and no-shows are counted in the booking summary that venues see when they receive your requests.
- Waitlist: you can join a queue for a booked time slot. When the time becomes free, the first person in the queue is notified. A place on the waitlist does not guarantee a booking.
7. Payment and Prices
- BandRoom is free for musicians. The Service does not accept or process payments: sessions are paid directly to the venue by the method the venue specifies. There is no booking commission. Questions of payment, refunds and cancellation fees are settled between the musician and the venue.
- For owners, connecting a venue is free during a trial period; when a venue is connected via an invitation link, the trial period is 3 months. The Administration informs the owner of the terms after the trial period, including a possible monthly listing fee, in advance and no later than 30 days before charging starts. A fee is charged only with the owner's consent, and the owner may stop listing the venue at any time.
- A listing fee, if introduced, is paid outside the Service by bank transfer or another agreed method; the Service does not process bank card data. Refund questions are considered upon request by email in accordance with the law of the Republic of Serbia.
8. Venue Owners and Assistants
- An owner connects a venue via a personal invitation link (it is single-use, valid for 60 days and grants rights to one venue only) or via an "I'm the owner" request verified by the Administration. By connecting a venue, you confirm that you are entitled to represent it.
- The owner is responsible for the accuracy of venue information (address, contacts, prices, opening hours, equipment, cancellation rules), for timely responses to requests and for honoring confirmed bookings.
- Client data received through the Service (name, phone number, Telegram profile, booking history, booking summary, notes) may be used by the venue team only to handle bookings and provide its service. It is prohibited to pass this data to third parties or use it for unrelated mailings or other purposes. With respect to this data, the owner acts as an independent controller and complies with the Law of the Republic of Serbia on Personal Data Protection.
- Notes about clients must be factual and respectful: no insults, no health information or other special categories of data. No-show marks and closing booking for a user must be applied in good faith; the Administration may remove a mark set by mistake or abusively.
- The owner adds as assistants only people who agree to it, sets their permissions and is responsible for their actions in the dashboard.
- If the owner turns on showing details to visitors or marks calendar events as public, the owner is responsible for ensuring that titles and categories do not contain personal data of the owner's clients.
- Promotional messages to clients are sent no more than once every 7 days, only to people who have booked the venue or added it to favorites, and only about that venue's offers. Each message contains an unsubscribe link.
- The owner sets up the calendar connection and can turn it off at any time. The Administration is not responsible for changes made to the owner's calendar by the owner or third parties, or for failures of Google services.
- The owner may print the QR code poster and display it at the venue; the QR code leads to the venue's page in the Service.
- The Administration may hide or unpublish a venue that is not a rehearsal room or studio, has closed, provides inaccurate information or violates these Terms.
9. Reviews and User Content
- Reviews of venues are based on personal experience and are published after moderation. A review must not contain defamation, insults, false information or other people's personal data. The Administration may refuse to publish or remove a review that violates these rules.
- By posting content (descriptions, photos, reviews), you guarantee that you hold all the necessary rights, including copyright and related rights and rights to images of people and property, and that the content does not violate the laws of the Republic of Serbia or third-party rights. It is prohibited to post illegal goods and services, hate-inciting material, pornographic content, malicious software and material that infringes copyright or other intellectual property rights of third parties. The Administration may delete such content without notice.
- By posting content, you grant the Administration a non-exclusive, royalty-free license to use, reproduce, adapt, translate (including automatically), publish, distribute and display it within the operation of the Service and its promotion. You retain all copyright and related rights to your content.
10. Notifications
The Service sends service notifications about requests and bookings (confirmation, rejection, cancellation, rescheduling, reminders, freed-up time) in Telegram via @bandroom_bot, as browser push notifications and to a confirmed email address. Service notifications are part of the service, and you choose the channels yourself. Delivery depends on third-party services, so the Administration does not guarantee that every notification will arrive; the current booking status is always visible in "My bookings" and in the dashboard.
11. Prohibited Actions
It is prohibited to: send requests without the intention to come or block time slots in bulk; impersonate another person or a venue representative; use other people's data; scrape data from the Service or overload it; bypass limits and protection; interfere with the operation of the Service; use users' contacts for mailings not provided for by the Service.
12. Disclaimer
The Service is provided "as is" and "as available". The Administration does not guarantee uninterrupted operation of the Service or the absence of errors and vulnerabilities, and is not liable for losses arising from the use of or inability to use the Service, for the actions of venues and other users, or for the information they post. To the maximum extent permitted by law, the total liability of the Administration is limited to the amount actually paid by the user to the Administration in the last 12 months. These limitations do not apply where the law does not allow them, including to consumer rights.
13. Intellectual Property
All rights to the Service, its BandRoom name and logo, design, source code, data structure and other elements belong to the Administration. Use without written permission is prohibited, except where expressly allowed by the Service's features (for example, printing the QR code poster by a venue owner).
14. Personal Data
Users' personal data is processed in accordance with the BandRoom Privacy Policy published on bandroom.rs.
15. Changes to the Terms
The Administration may amend these Terms by publishing the current version on https://bandroom.rs with the update date. Users are notified of significant changes through the Service interface or by email at least 14 days in advance. Continued use of the Service after the changes take effect means acceptance of the new version.
16. Termination of Use
A user may stop using the Service at any time and delete their account in the profile. Deletion leads to the removal of related data within the periods set out in the Privacy Policy; bookings remain in venues' records without your name and contacts. An owner may stop listing a venue at any time by writing to the Administration. The Administration may discontinue the Service or specific features by notifying users at least 30 days in advance, except in cases of force majeure or legal requirements.
17. Governing Law and Dispute Resolution
These Terms are governed by the law of the Republic of Serbia. Disputes are resolved by the competent courts of the Republic of Serbia. Before going to court, we recommend trying to settle the dispute through negotiation by sending a claim to info@bandroom.rs. Disputes about a venue's services are settled between the musician and the venue; the Administration may help them to the extent permitted by the Privacy Policy.
18. Contact
